About Your New Job
As the Executive Assistant & Business Operations Administrator, you will:
- Directly support the VP Finance and CEO, handling executive assistance, project coordination, and hands-on business operations in a small, dynamic office.
- Take total ownership of high-quality board and executive reporting and presentations; you’ll need to excel with PowerPoint and Excel to structure and prepare company and team reports at a senior level (not just coordinate them).
- Manage executive and team calendars, expense processing, travel and event planning, and document workflows—including confidential NDAs and commercial agreements, tracking using SharePoint and DocuSign.
- Organise quarterly board meetings end-to-end—including logistics, liaison with hotels and restaurants, and on-site event management.
- Serve as the go-to problem solver for general office operations, facilities and compliance, supporting seamless business processes across finance, legal, and commercial functions.
You’ll join a hybrid team (2–3 days/week onsite at central Dublin offices; 9:00–17:30). Your success depends on your ability to independently manage ongoing work, anticipate leadership needs, and bring order and energy to a busy, scaling business.
What Skills You Need
- Demonstrable experience as an Executive Assistant, Personal Assistant or Business Operations Administrator within a start-up, SME, or small office environment.
- Advanced PowerPoint and Excel skills, with a proven ability to compile, format, and present reports to the highest executive standard.
- Meticulous attention to detail, especially in document/contract management and handling confidential information.
- Proficiency with SharePoint, DocuSign, and MS Office, with excellent organisation and digital file management capabilities.
- Confident, highly proactive self-starter, able to prioritise, problem-solve and operate effectively with minimal supervision or training.
- Strong communication and interpersonal skills, comfortable liaising with senior leaders and supporting virtual team members across multiple time zones.

- Salary: €50,000–€55,000 base plus bonus up to 10% (company and personal performance-driven).
